Lumen Notes
Acceptable Use Policy
Effective date: June 12, 2026
Lumen Notes exists to take documentation off clinicians' plates without taking judgment out of their hands. This policy describes the uses that break that contract. It applies to everyone with access to a Lumen workspace and is incorporated into the Terms of Service.
You must
- Hold a valid professional license (or work under appropriate supervision within a licensed practice) when signing clinical notes.
- Obtain and document any consent your jurisdiction requires before recording a session — including all-party consent where applicable.
- Review and edit every AI draft before signing. The signing clinician is the author of record.
- Use workspace roles honestly — clinical records must only be accessible to people with a legitimate treatment, payment, or operations purpose.
You must not
- Record anyone without required consent, or use Lumen to capture conversations outside a clinical context.
- Sign notes without review, automate signing, or otherwise present unreviewed AI output as clinical documentation.
- Use Lumen for diagnosis or crisis decision-making. It is documentation software, not a clinical decision tool. In emergencies, follow your crisis protocols — not an app.
- Upload content you have no right to process, or use the Service for anyone other than clients under your (or your practice's) care.
- Share account credentials, circumvent access controls, or access records of clients you have no role in treating.
- Probe, scan, or test the security of the Service except under our responsible disclosure policy.
- Resell, scrape, or reverse-engineer the Service, or use it to build a competing dataset or model.
- Use the Service in violation of HIPAA, your licensing board's rules, or any applicable law.
Enforcement
Violations may lead to suspension or termination under the Terms of Service. Where a violation involves client safety or unlawful recording, we may be required to act immediately and without prior notice. We'll always tell you what happened and why, unless the law prevents it.
